production.

You can use Production Tasks, Bespoke Indicators, or both together, depending on how your business prefers to manage orders.

Option 1: Production Tasks

Production Tasks allow you to track individual order line items as they move through the production process.

For example, an order containing engraved acrylic awards and personalized plaques may require different production steps for each line item.

An engraved acrylic award might require:

Artwork preparation

Customer proof approval

Engraving or printing

Assembly

Final inspection

When a Product Family has an assigned task workflow, Order Manager automatically assigns that workflow when a product belonging to the family is added to an order.

This allows employees to manage and track the production Maintain Order Window

Production Tasks can be viewed and modified directly from the Maintain Order window.

This is useful when working with an the TASKS tab displays the Work With Tasks window, allowing employees to monitor and maintain production work across multiple customer Window]

Production Tasks are optional and are particularly useful for businesses that want detailed production tracking.

Option 2: Bespoke Indicators

Bespoke Indicators provide a simpler way to manually track the overall progress of a customer order.

Rather than tracking individual order line items, employees can update Bespoke Indicators as the entire order moves through production.

For example, your business might configure indicators such as:

Artwork

In Production

Quality Check

Ready for Pickup

Bespoke Indicators are especially useful for businesses that prefer to track an order as a whole instead of managing production tasks for each line item.

Option 3: Use Both Together

You can also use Production Tasks and Bespoke Indicators together.

For example:

Production Tasks track the progress of individual order line items through their assigned production workflows.

Bespoke Indicators provide a quick visual overview of the entire order’s progress.

This allows employees to manage detailed production work while providing an easy way to see where an order stands.

Important: Production Tasks are optional. Choose the tracking method that best fits your business.

Step 4: Monitor Order Progress

As an order moves through production, use your preferred tracking method to monitor its progress.

If you’re using Production Tasks, monitor and update them directly from the Maintain Order window or through the TASKS tab and Work With Tasks window.

If you’re using Bespoke Indicators, manually update the indicators to reflect the overall order’s progress.

If you’re using both, keep the Production Tasks and Bespoke Indicators updated as work is completed.

Regularly reviewing order progress helps employees identify orders requiring attention and keep production on schedule.

Step 5: Review the Completed Order

Once production is finished, review the order before marking it Complete or Closed.

Verify that:

All ordered products have been completed.

Personalization and artwork are correct.

Quantities match the customer order.

The products are ready for pickup or shipping.

This final review helps reduce mistakes and ensures the order is ready for the customer.

Step 6: Trigger the Order to Complete or Closed

Once production is finished and the order is ready for pickup or shipping, click the Trigger Event button on the Maintain Order window.

Order Manager then begins the process of completing or closing the order.

When the order is triggered, Order Manager requests the location where the completed order is being stored. This information is recorded in the order’s Pickup Location field.

Order Manager then automatically changes the order status to either Complete or Closed, depending on its financial status.

Closed Status

An order is assigned a Closed status when:

The order has been paid in full, resulting in a zero balance.

The full order amount has been invoiced.

A Closed status indicates that production is finished and the order’s financial requirements for closing have been satisfied.

Complete Status

An order is assigned a Complete status when:

Production is finished.

The customer is designated as COD (Cash on Delivery).

A balance remains due on the order.

The order is complete from a production standpoint but remains open financially until the outstanding balance is resolved.

Example

A customer orders $250 worth of engraved awards.

Paid in Full: The customer has paid $250. When triggered, the order changes to Closed.

Fully Invoiced: The full $250 has been invoiced. When triggered, the order changes to Closed.

COD with Balance Due: The customer still owes $250. When triggered, the order changes to Complete.

Important: Complete does not necessarily mean Closed. An order can be finished and ready for the customer while still having an outstanding balance.

Automatic Production Task Closure

When an order changes to Complete or Closed, bizwizIQ Order Manager automatically closes all Production Tasks associated with that order.

Employees do not need to manually close each Production Task before completing the order.

This keeps production tracking synchronized with the order’s status.

Step 7: Automatic Customer Notification

When an order is triggered to Complete or Closed, Order Manager can automatically send an email notification to the customer.

Depending on whether the order is being picked up or shipped, the email informs the customer that their order is:

Ready for Pickup, or

Ready to Ship.

Automatic email notifications are controlled by the email settings configured on the Maintain Group page under USER/GROUPS.

When properly configured, these notifications eliminate the need to manually prepare and send separate order-ready emails.

Step 8: Record Customer Pickup or Shipping

After an order has been completed or closed, click the Trigger Event button again when the customer picks up the order or when the order is shipped.

Order Manager displays a different prompt depending on the order’s fulfillment method.

Customer Pickup

When the customer arrives to collect the order:

Open the customer order.

Click the Trigger Event button.

Order Manager displays the customer pickup prompt.

Enter the name of the person picking up the order.

Complete the pickup process.

This provides a record of who collected the order.

Shipping

When the order is being shipped:

Open the customer order.

Click the Trigger Event button.

Order Manager displays the shipping prompt.

Enter the shipment tracking number.

Complete the shipping process.

When configured, Order Manager can automatically send a shipping notification email that includes the tracking number.

Recording pickup or shipping information helps maintain a history of how customer orders were fulfilled.

Congratulations!
